1. Two Booking Tracks

Payment terms depend on how far in advance you book.

Advance Booking (booking made 60 days or more before your arrival date)

  • A 30% deposit is due at the time of booking (i.e. from 60 days before arrival).
  • The remaining 70% balance is due 21 days before arrival.

Last-Minute Booking (booking made within 60 days of your arrival date)

  • 60% is due at the time of agreement/booking.
  • The remaining 40% balance is paid on arrival.

Your deposit or initial payment secures your dates, guide, park permits, and lodge/campsite availability. For trips that include Uganda gorilla trekking permits, full permit payment is required at booking regardless of track (see Section 4), since permits are purchased on your behalf in advance and cannot be recovered if you cancel.

If a balance payment is not received by its due date, we reserve the right to treat the booking as cancelled under Section 3, and release your reserved dates.

2. Accepted Payment Methods

  • M-Pesa (for clients in Kenya or paying in KES — converted to USD at the prevailing rate on the day of payment)
  • Bank transfer (USD account details provided on request)
  • Card payment via our online quote/booking page
  • Payment can be arranged directly over WhatsApp with our team once your itinerary and invoice are confirmed

All trip prices are quoted in USD. Any bank or M-Pesa transfer charges are the client's responsibility.

3. Cancellation & Refund Schedule

Refund terms follow whichever booking track applied (Section 1), and are always net of any non-refundable third-party costs (Section 4).

  • "Notice" means the date we receive written cancellation (email or WhatsApp message) from the lead traveller.
  • Refunds are processed within 14 business days, back to the original payment method where possible.

4. Non-Refundable Third-Party Costs

Some costs are paid to third parties (Kenya Wildlife Service, Uganda Wildlife Authority, park authorities, specific lodges/camps with their own strict policies) well ahead of your trip and cannot be refunded once paid, regardless of the notice given. This currently includes, but is not limited to:

  • Uganda gorilla trekking permits (Bwindi) — permits are allocated months in advance and are non-transferable once purchased
  • KWS park entry fees for Mount Kenya, once paid to the authority
  • Any pre-paid lodge/camp deposits explicitly flagged as non-refundable at time of booking

We will always tell you clearly at booking which portion of your trip cost falls into this category.

5. Date Changes / Rescheduling

  • One free date change is permitted if requested more than 30 days before arrival, subject to guide, permit, and lodge availability on the new dates.
  • Date changes requested within 30 days of arrival are treated as a cancellation under Section 3, followed by a new booking.
  • Rescheduled Uganda gorilla trekking trips depend entirely on permit availability for the new date and may incur a new permit fee.

6. Force Majeure

If your trip cannot go ahead due to circumstances beyond either party's control — including but not limited to civil unrest, extreme weather, natural disaster, government travel restriction, or closure of a national park/border — we will work with you to reschedule or provide a credit toward a future trip. Refunds in these cases are limited to whatever unspent, recoverable funds we are able to reclaim from our suppliers (park authorities, lodges, airlines), as these costs are frequently non-recoverable on our end as well.

7. Travel Insurance

We strongly recommend all climbers and safari guests take out travel insurance that covers trip cancellation, medical evacuation, and high-altitude trekking (for Mount Kenya and Kilimanjaro climbs specifically). This is not included in our trip cost.
